If a person is adding a Virtual Terminal user they will not be able to assign permissions to a user they don’t have permissions to themselves.
- Enter the User’s information under Add a User.
- First and Last Name
- Create a user name
- Establish a password – minimum of 8 characters with at least 1 capital letter and 1 number
- The title and phone numbers are optional
- Enter in Transaction Limits – limits on what the user can process. If left at 0 the user will not be able to process transactions. If the user is not limited to specific transaction limits enter in 9s across the board i.e. 9999999999
- If you want to limit the location for your user, you would click IP Limited and enter the IP Address in Low and High Range 1. (This means that user can only log in from the IP address you have assigned to their account.)
- You can click the plus sign next to the IP Limited box and it will allow you to add up to 5 IP Addresses per user.
- Select a Role under Access/View permissions.
- A regular user will not be able to add or edit users and will not have access to merchant options.
- A merchant administrator can add or edit additional regular users only and will have access to merchant options.
- A Group Administrator can add or edit additional regular users and merchant administrators and will have access to merchant options.
- The Password Expires option a frequency to be selected for passwords to expire.
- The Force Pass Change option will prompt the user to change their password when they log in for the first time and allow them to create their own password.
- The Gateway Settings box if checked will give the user access to the Gateway Settings tab which includes Secure Web Pay settings and merchant keys used for Integration.
- Establish permissions and transactions types that can be processed in the Transaction Permissions section
- Check the box next to each function the user can have access to i.e. adding transactions, scheduling transactions, searching transactions, exporting transactions, etc.
- Check the box next to each transaction type the user is allowed to process i.e. sale, credit, voiding, reversing, etc for eCheck and CC, whichever is applicable.
- Under entry class codes, you want to check the box next to the word Entry Class Codes and that will automatically check the codes you were set up with when you were enrolled.
- Select whether you want to give them the Client Import and Export Options.
- Hierarchy Permissions allows a user to have access to the merchant’s other accounts in Virtual Terminal if a hierarchy exists. Reporting views are also established in this section.
- On the left side, check the box by the additional MIDs listed that the user can access if the merchant has more than one account on a hierarchy.
- On the right side select the reports the user can have access or visibility to.
- If the user is processing using one of the card readers in the drop down box under the Swipe section, you must select it here. If not, keep the Reader option on None.
- When all entries have been completed Click Add a User.
